What connecting your AI can and can't do

Here is exactly what happens when you connect fleetfax to your AI assistant, in plain English, so you know what you're turning on before you turn it on.

The fleetfax connectors open soon. Neither the free nor the Pro address answers yet. What follows describes how connecting will work once they do.

Sign-in

You sign in with your email, every time

There is no password to create or share. When you connect, fleetfax sends a 6-digit code to your work email. You type it in once to prove it's you. That's the whole sign-in.

Because there's no password, there's nothing for your assistant, or anyone else, to store, guess, or leak.

Permissions

Your assistant acts as you, with only what you approve

Once connected, your assistant reaches fleetfax on your behalf, the same as if you ran the search yourself. It gets only the access you approve on the connection screen, and nothing more.

You see the full list before you approve it. Here it is:

  • Look up carriers and their history Read the full fleetfax report for any carrier: authority, insurance, safety, fleet, and change history.
  • Add or remove carriers on your watchlist Put carriers on your watchlist or take them off, the same list you keep on fleetfax.com.
  • Read your alerts See the alerts fleetfax has raised on the carriers you watch.
  • Run batch checks (up to 10 at a time) Check a short list of carriers in one go, up to 10 per batch.
Under the hood

This is a standard secure sign-in (OAuth) over the open Model Context Protocol (MCP). The access above maps to scopes you grant at connection time; the assistant never receives a password and can't widen its own access.

Off-limits

What fleetfax never shares

Some things stay off-limits to the assistant, no matter what it asks:

  • Your payment card or billing details.
  • Any change to your account, plan, or password (there isn't one).
  • A bulk download or export of the fleetfax database.

fleetfax reports are built from public FMCSA records. fleetfax surfaces those facts; you make the call.

Limits

Daily limits

A connected fleetfax Pro account gets a daily allowance of 500 basic lookups; detailed history checks draw more of it. A batch of 10 carriers counts as 10 of those. The count resets every day. This keeps the service fast and fair for everyone; it's not a trial or a trap.

How to cut off access

You're in control, two ways. Either one ends the connection.

  1. In your assistant, open its connectors, find fleetfax, and remove it.
  2. Or sign out of fleetfax. The assistant loses access the moment you do.

System of record

Where your diligence record lives

Your assistant is a fast way to ask. It isn't the system of record. The carrier reports live on fleetfax.com, and every answer links back to the live report. When you need a timestamped record of what you checked, export the report as a PDF from fleetfax.com. That printed record is what stands behind your vetting, not the chat.
