Privacy policy

We do not sell your data, and we never share your searches, your book, or your vetting records for advertising or anyone else's independent use.

fleetfax is a carrier intelligence platform for freight brokers, factors, and shippers. The platform is this website; the Chrome extension is a companion to it. We collect what it takes to return a carrier report and run your account, nothing more.

What you send us

The USDOT, MC number, company name, phone, or email you search goes to our backend, which looks the carrier up in the FMCSA public registry and returns the report. Bug reports, feedback, and an email you leave for a waitlist or watch request also reach us, each used only for what you asked for.

In the Chrome extension, your lookup history — the last 20 — stays on your own device; the lookups themselves are answered by our servers like any search on this site. It runs on no web page and cannot read your browsing, cookies, or logins.

Our servers keep logs of the requests they answer: the lookup that was asked, a per-install identifier, and, when you're signed in, your account. We use them to improve fleetfax and stop abuse; the analytics tools below never see them. Delete your account and these logs lose their link to you.

If you have a fleetfax account

Accounts are optional and every carrier report works without one. An account holds your email address, an optional display name, and the records that operate sign-in. We sign you in with emailed links and codes, or with your Google account if you choose that, so there is no password to store.

Your lists, tags, notes, policy minimums, and vetting records stay private to you. We don't mine them, they never go to analytics, and support staff don't read your notes unless you attach them to a support request. Watch a carrier and the changes we detect are shown to you in your account. If paid plans open, a payment processor will handle them; your card details will never touch our servers.

Deleting your account. One click signs you out everywhere and permanently removes what is in it: your saved carriers, lists, tags, notes, saved searches, watch history, policy minimums, and vetting records. A few things outlive the account: billing history we keep for tax and accounting, a marker that it existed so it can't be reused for abuse, and any support request you sent us, which runs down its own 180 days. Carrier reports are public and stay free, so deleting your account changes nothing about any carrier's data.

We back up the database daily, so data you delete can sit in an encrypted backup for up to six months before it rolls off.

Service providers

A small number of standard providers give us hosting, email delivery, analytics, and support tooling. Each acts on our instructions under contract and receives only what its function needs.

Two of them measure how this website is used: pages viewed, where you clicked, and a masked session replay that shows the public page but never what you type, with a first-party cookie counting return visits. Neither receives anything out of your account, not your book, your notes, or your vetting records, and fleetfax runs no advertising. The two are Google Analytics and Microsoft Clarity; Microsoft's terms let it use what Clarity collects there for its own purposes, including advertising. An ad blocker turns all of it off, and fleetfax works the same.

Your rights

Ask us what we have on your account, ask for a copy of it, ask us to correct it, or ask us to delete it: email [email protected] from the address you used and we'll respond within 5 business days. We'll confirm you're the account holder before acting on a deletion or export request. Using any of these rights never gets you worse service. California residents exercise their CCPA and CPRA rights the same way. If this policy changes, the effective date at the top updates with it.
