Privacy policy

We never sell your personal information, and we do not share your book or notes for advertising. Google Analytics and Microsoft Clarity see which carrier pages you open, and Microsoft may use Clarity data for advertising.

fleetfax is a carrier intelligence platform for freight brokers, factors, and shippers. The platform is this website; the Chrome extension is a companion to it. We collect what we need to return carrier reports and run your account, and we use cookies and analytics tools as described below.

What you send us

The USDOT, MC number, company name, phone, or email you search goes to our backend, which looks the carrier up in the FMCSA public registry and returns the report. Bug reports, feedback, and an email you leave for a waitlist or monitoring request also reach us, each used only for what you asked for.

We may retain carrier sourcing queries for up to 30 days to improve our system.

The Chrome extension keeps your lookup history on your device and sends lookups to our servers. It may send anonymous usage counts to our analytics provider, and phone numbers you ask it to check go to a phone-validation service.

Our servers keep logs of the requests they answer: the lookup that was asked, a per-install identifier, and, when you're signed in, your account. We use them to improve fleetfax and stop abuse; the analytics tools below never see them. Delete your account and these logs lose their link to you.

If you have a fleetfax account

Accounts are optional. Every carrier report works without one. If you choose to create an account, we store your email, an optional display name, and your login records. We use Google sign-in or emailed magic links and codes, meaning we never store passwords. We use our own cookies to keep you signed in (30 days), recognize your browser (400 days), and limit contact views before sign-in (one year). Other cookies used during sign-in and security checks last 10 minutes or less. Your account syncs your 50 most recently viewed carriers across your devices and the extension. If you delete your account, all of this data is permanently removed.

Your lists, tags, notes, policy minimums, and vetting records stay private to you. We don't mine them, they never go to analytics, and support staff don't read your notes unless you attach them to a support request. Carriers in your book are monitored, and the changes we detect are shown in your account. When paid plans open, a payment processor will handle them; your card details will never touch our servers.

Deleting your account. One click signs you out everywhere and permanently removes what is in it: your saved carriers, lists, tags, notes, saved searches, monitoring history, policy minimums, and vetting records. A few things outlive the account: billing history we keep for tax and accounting, a marker that it existed so it can't be reused for abuse, and any support request you sent us, which we keep for a limited time. Carrier reports are public and stay free, so deleting your account changes nothing about any carrier's data.

We back up the database daily, so data you delete can sit in an encrypted backup for a limited time before it rolls off.

Service providers

We use a small number of service providers for hosting, email, analytics, support, and AI models that process text you type or paste. Each works on our instructions and gets only what its job needs.

Three of them measure how this website is used: Google Analytics records each page's address and title, Cloudflare Web Analytics each page's address, and Microsoft Clarity your clicks and a replay of the page as displayed, with what you type hidden and all page text hidden once you're signed in. Google Analytics sets its own cookie to count return visits. None of them receives anything out of your account, not your book, your notes, or your vetting records, and fleetfax runs no advertising. The three are Google Analytics, Cloudflare Web Analytics, and Microsoft Clarity; Microsoft's terms let it use what Clarity collects there for its own purposes, including advertising. An ad blocker turns all of it off, and fleetfax works the same.

Payments are processed by Stripe. Your card details go directly to Stripe and never reach fleetfax's servers.

Your rights

Ask us what we have on your account, ask for a copy of it, ask us to correct it, or ask us to delete it: email [email protected] from the address you used and we'll respond within 5 business days. We'll confirm you're the account holder before acting on a deletion or export request. Using any of these rights never gets you worse service. California residents exercise their CCPA and CPRA rights the same way. If this policy changes, the effective date at the top updates with it.
